Content and De-Identification Policy

CaseArkive is intended for private, de-identified case content. This policy explains what may and may not be uploaded to the Service.

1. Purpose

The Service is designed for users who want to store and organize de-identified case content for reference, teaching, review, and related lawful uses.

2. Content You May Upload

You may upload:

  • de-identified clinical images
  • de-identified case notes
  • image captions
  • non-identifying case titles and metadata
  • other content you are authorized to use and that complies with these rules

3. Content You May Not Upload

You may not upload:

  • patient names
  • medical record numbers
  • dates of birth
  • addresses
  • phone numbers
  • email addresses
  • government-issued identifiers
  • insurance information
  • identifying screenshots or documents
  • images containing visible patient identifiers that have not been removed
  • files or notes containing information you are not authorized to disclose
  • unlawful, abusive, infringing, pornographic, sexually explicit, obscene, or malicious content

4. De-Identification Rules

Before uploading content, you must review it carefully and remove or obscure identifying information.

This includes:

  • cropping out burned-in identifiers from images
  • removing identifying labels or overlays
  • avoiding identifiers in notes or captions
  • avoiding identifiers in filenames
  • confirming that the uploaded image itself is not identifying

If the Service includes tools such as cropping or metadata removal, those tools are provided for convenience only. You remain responsible for confirming that the final uploaded content is appropriately de-identified.

5. Your Responsibility

You are solely responsible for:

  • reviewing each upload
  • ensuring that uploaded content is lawful and authorized
  • complying with applicable privacy, confidentiality, institutional, and professional obligations

We do not guarantee that any content uploaded by users is de-identified, compliant, or lawful.

6. Enforcement

We may remove content, suspend accounts, or terminate access if we believe content or use of the Service violates this policy, our Terms, or applicable law.

7. Reporting

If you believe content on the Service violates this policy, contact us at contact@casearkive.com.

8. Changes

We may update this policy from time to time. Continued use of the Service after updates become effective means you accept the revised policy.
